Accurate timekeeping is critical to ensuring employees are paid correctly and on time. Time Edit Requests are designed to correct legitimate timekeeping errors — not to replace proper clock-in and clock-out procedures.
To maintain fairness, accuracy, and efficiency, Time Edit Requests must follow the guidelines below.
WHY THIS POLICY EXISTS
Time Edit Requests require manual review, supervisor verification, and payroll adjustments. Excessive or unnecessary requests delay payroll processing and increase the risk of errors.
This policy exists to:
- Ensure accurate payroll for all employees
- Maintain fair and consistent timekeeping practices
- Reduce avoidable errors and repeated corrections
- Hold everyone accountable to the same standards
✅ WHAT A TIME EDIT REQUEST IS
A Time Edit Request is used only when a verified timekeeping error affects your pay and cannot be corrected directly by your supervisor.
- Valid reasons include:
- A missed clock-in or clock-out that affects hours worked
- A verified system or app malfunction
- A supervisor-confirmed error
❌ WHAT A TIME EDIT REQUEST IS NOT
Time Edit Requests should not be submitted for:
- Minor rounding differences
- Schedule misunderstandings
- Repeatedly forgetting to clock in or out
- Issues already reviewed or corrected by a supervisor
- Requests submitted after payroll deadlines
- Submitting requests for these reasons may result in the request being denied.
🧾 REQUIRED STEPS BEFORE SUBMITTING
- Before submitting a Time Edit Request, employees must:
- Review their timecard in the timekeeping system
- Notify their supervisor of the issue
- Allow the supervisor to review the request
- Confirm the issue impacts payroll
- Requests submitted without completing these steps will not be processed.
📝 HOW THE PROCESS WORKS
- Employee reviews timecard and identifies an error
- Employee notifies supervisor
- Supervisor reviews and verifies the request
- Employee submits a completed Time Edit Request form
- Payroll reviews and processes approved requests
- Incomplete or unverified requests will be returned.
⏱️ SUBMISSION DEADLINES & PAYROLL TIMING
- Requests must be submitted within 24 hours of the missed punch
- Requests submitted after payroll processing will be paid in the next pay cycle
- Processing time may vary based on volume and accuracy of submissions
⚠️ ACCOUNTABILITY & EXPECTATIONS
- Employees are expected to clock in and out accurately for every shift. Repeated Time Edit Requests indicate a failure to follow timekeeping procedures and may result in corrective action.
- Corrective action may include:
- Coaching or retraining
- Verbal or written warnings
- Further disciplinary action if the issue continues

By submitting a Time Edit Request, you acknowledge:
- The information provided is accurate and complete
- Your supervisor has reviewed the request
- Repeated requests may lead to corrective action
- False or incomplete information may result in denial of the request.
